Microsoft Copilot Gains Deeper Personalization Through Your Communications

Microsoft has begun rolling out a significant update to Copilot for eligible Microsoft 365 Business and Education accounts. This enhancement allows the AI assistant to analyze content from users' Outlook emails, Teams chat histories, and meeting transcripts.

How Copilot Builds Context About Your Work

By processing this communication data, Copilot attempts to automatically infer a user's working priorities, key professional relationships, and task-related preferences. The goal is to create a more contextual understanding of an individual's role and focus areas, enabling more relevant assistance.

Microsoft's Data Privacy Assurance

Acknowledging potential privacy concerns, Microsoft has stated two key safeguards: all data used for personalization is treated as confidential, and this information will not be used to train the underlying AI models that power Copilot. Your work communications remain isolated for your personal use case only.

Taking Control: The Opt-Out Mechanism

Control over this feature rests entirely with the user. If you prefer Copilot not to analyze your communications for personalization, you can disable it manually:

  • Navigate to Microsoft 365 Copilot Chat.
  • Go to "Settings" -> "Chat Settings" -> "Personalization".
  • Toggle off the "Chat History and Work Insights" option.

Once disabled, any inferences Copilot has already made will be deleted from the system after a 30-day period. Be aware that if you re-enable the feature within those 30 days, some of the deleted "memory" might be recoverable.

This update represents a move towards more proactive and context-aware workplace AI, while simultaneously underscoring the ongoing conversation about data boundaries. Providing a clear opt-out path demonstrates Microsoft's effort to balance powerful features with user agency.
